2019 Board Roles

 

*Board of Directors (voting members)-  Below are high level summaries of what is expected of each role.  While the dominant scope of responsibility of these roles is highlighted, they are not limited to what has been summarized.  All roles are expected to be flexible and provide support to other areas as able and needed.  All Board Members are expected to have a volunteer application on file and pass a background screening.

 

Executive Board Members:

 

  • President:  Leads and oversees ALL MSPYL operations, in line with Pop Warner requirements.  Ensures effective management of all Board and Staff roles.  Represents MSPYL in all Pop Warner related meetings and events.  Carries out and exemplifies the MSPYL mission.
  • Yearly Commitment: Year-Round. Attends Monthly SCPW Meetings and any added meetings and MSPYL appearances required of Pop Warner.  Runs all monthly MSPYL Board Meetings, as well as any Special meetings as required.  Provides volunteer support at all pre-season, in-season and post-season home field events as necessary for the event’s operations.

 

  • Vice President:  Assists the President in all aspects of leading and overseeing MSPYL operations, in line with Pop Warner requirements; including Board and Staff performance.  In the President’s absence; Represents MSPYL in any and all meetings and appearances according to Pop Warner requirements.  Carries out and exemplifies the MSPYL mission. 
  • Yearly Commitment: Year-Round.  In the event the President is unavailable to do so, attends Monthly SCPW Meetings and any added meetings and MSPYL appearances required of Pop Warner. Participates, and in the event the President is unavailable; runs all monthly MSPYL Board Meetings, as well as any Special meetings as required. Provides volunteer support at all pre-season, in-season and post-season home field events as necessary for the event’s operations.

 

  • Executive Administrator:  Manages all levels of communication and administrative functions of the league (includes league email, website, social media, letters, policies, meeting minutes etc.)  Assists President and Vice President in organizing and executing league business as it relates to determining, documenting, and facilitating league policy and procedure.  Ensures timely and professional correspondence to and from the league.  Oversees appropriate and effective communication to teams, parents and guardians.  Carries out and exemplifies the MSPYL mission.
  • Yearly Commitment: Year-Round.  Attends all monthly MSPYL Board meetings and any special meetings as necessary.  Signs up to volunteer at all pre-season, in-season and post season home field events, for a minimum of 15 hours total for the season, and an average of 2-3 hours per hosted event.

 

  •  Treasurer: Manages League finances, while maintaining the MSPYL annual budget, providing monthly financial reports to the board.  Consistently utilizes safe, honest and transparent money handing practices with thorough, timely and well-organized financial tracking and reporting.  Ensures timely deposits and payments as required for league business.  Completes MSPYL annual tax return.  Carries out and exemplifies the MSPYL mission.
  • Yearly Commitment: Year-Round.  Attends all monthly MSPYL Board meetings and any special meetings as necessary.  Signs up to volunteer at all pre-season, in-season and post season home field events, for a minimum of 15 hours total for the season, and an average of 2-3 hours per hosted event.

 

  • Director of Football:   Maintains a strong understanding of Football Operation requirements of Pop Warner.  Leads and oversees all MSPYL football operations in line with Pop Warner requirements.  Leads the Coaches selection process, observes and manages coaching performance and reinforces coach’s commitment to supporting the league and its players. Ensures all field operations, uniforms and equipment are in line with Pop Warner and MSPYL requirements, best practices and safety standards.  Carries out and exemplifies the MSPYL mission.
  • Yearly Commitment: Year-Round.  Attends all monthly MSPYL Board meetings and any special meetings as necessary.  Provides volunteer support at all pre-season, in-season and post-season home field events as necessary for the event’s operations.

 

  • Cheer Director: Maintains a strong understanding of Cheer operations requirements of Pop Warner.  Leads and oversees all MSPYL CHEER operations in line with Pop Warner Requirements.  Leads the Cheer Coaches selection process, observes and manages cheer coaching performance and reinforces coach’s commitment to supporting the league and its cheerleaders.   Ensures all field operations and uniforms are in line with Pop Warner and MSPYL requirements, best practices and safety standards.  Carries out and exemplifies the MSPYL mission.
  • Yearly Commitment:  Year-Round.  Attends monthly SCPW Meetings, and represents MSPYL Cheer in all Pop Warner meetings and events as is required.  Attends all monthly MSPYL Board meetings and any special meetings as necessary.  Provides volunteer support at all pre-season, in-season and post-season home field events as necessary for the event’s operations.

 

 

General Board Members:

 

  • Registrations Manager: Participates in and leads planning, organizing and facilitating Football and Cheer registrations for the season.  Recruits and leads a registrations support team.  Manages and organizes registrations forms and books.  Partners with the treasurer to execute safe money handing practices and provides monthly registrations reports to the Board.  Supports Teams with new registration requirements after the season jamboree. Carries out and exemplifies the MSPYL mission.
  • Yearly Commitment: Partial Year, Pre-Season planning and prep as well as In-season, estimate July thru November (or earlier if all registrations are paid).   Attends all monthly MSPYL Board meetings and any special meetings as necessary.  Signs up to volunteer at all pre-season, in-season and post season home field events, for a minimum of 10 hours total for the season, with an average of 2 hours per hosted event.

 

  • Concessions Manager: (Currently open to apply)  Effectively plans and manages all Concessions Operations for the season.  Responsible for selecting a menu and determining pricing with board input.  Handles purchasing and maintaining inventory, transport of merchandise to and from home field events, as well as set up and break down.  Partners with the Volunteer Coordinator to organize necessary concession volunteer support and a concessions team.  Carries out and exemplifies the MSPYL mission.
  • Yearly Commitment: Partial Year.  Needed for Pre-Season prep and jamboree, In-Season home field events and Post Season Play-off event.  Estimated to be mid-August thru early November.  Ensures adequate coverage and support in Concessions through preparation, closing and all operating hours during all home game day events.  Attends all Monthly MSPYL Board meetings.

 

  • Fundraising Manager: (Currently open to apply) Plans, facilitates and executes fundraising initiatives for the league in a continued effort to meet and exceed our fundraising goal as outlined in our budget.  Looks for out of the box and creative opportunities, always looking for ways to reach the community and benefit our participants.  Submits requests to existing Sponsors, seeks out new Sponsors and ensures Sponsors are appropriately recognized and appreciated for their contributions.  Carries out and exemplifies the MSPYL mission.
  • Yearly Commitment: Year-Round.  Attends all  monthly MSPYL Board meetings and any special meetings as necessary.  Signs up to volunteer at all pre-season, in-season and post season home field events, for a minimum of 10 hours total for the season, with an average of 2 hours per hosted event.

 

  • Volunteer Planning Manager:  Plans and Organizes Volunteer Sign Ups for all Home field events.  Works with Team Volunteer Coordinators to recruit the help needed from families in each team and provide encouragement and appreciation for their efforts. Ensures appropriate coverage for all home field events and communicates with the board accordingly about coverage.  Partners with the Concessions Director to recruit and build a concessions staff.  Carries out and exemplifies the MSPYL mission.
  •  Yearly Commitment: Partial Year.  Needed for Pre-Season prep and jamboree, In-Season home field events and Post Season Play-off event.  Estimated to be mid-August thru early November.  Provides necessary volunteer support during all pre-season, in-season and post-season hosted events to ensure appropriate coverage for a successful operation.  Attends all Monthly MSPYL Board meetings.

 

  • Marketing and Events Coordinator: (Currently open to apply) Manages all apparel business for the season, including ordering inventory, distributing merchandise, handling the league store, and overseeing apparel sales.  Designs, orders and distributes flyers, signage, and overall league promotions.  Additionally, leads planning and organization of the season kick-off celebration as well as the Annual Banquet.  Recruits and organizes committee members to assist with the planning and executing of these events.  Carries out and exemplifies the MSPYL mission.
  • Yearly Commitment: Partial Year, In-season and time required for Banquet.   Attends all monthly MSPYL Board meetings and any special meetings as necessary.  Signs up to volunteer at all pre-season, in-season and post season home field events, for a minimum of 10 hours total for the season, with an average of 2 hours per hosted event.

 

  • Scholastics Coordinator:  Assists and Supports the Registrations Manager with tasks related to the registrations process while also managing all aspects of scholastics including determining report card scores based on Pop Warner guidelines, handling any scholastic eligibility progress reports or alternative forms, ensuring proper applications for all American scholars.  Represents MSPYL at Pop Warner Scholastic meetings and required events.  Carries out and exemplifies the MSPYL mission.
  • Yearly Commitment: Partial Year, Early Season and intermittent based on requirements of Pop Warner. Estimate August thru October.   Attends all monthly MSPYL Board meetings and any special meetings as necessary. Attends any meetings required of Scholastics per Pop Warner. Signs up to volunteer at all pre-season, in-season and post season home field events, for a minimum of 10 hours total for the season, with an average of 2 hours per hosted event.


  • Field Operations Manager: (Currently open to apply) In partnership with the Director of Football, oversees field operations both at practice and at home field events to ensure all standards are met based on Pop Warner and MSPYL requirements for performance, conduct and safety.  Oversees proper set up, clean up and breakdown of perspective areas.  Addresses field and coaching concerns in the Director of Football’s absence.  Carries out and exemplifies the MSPYL mission.
  • Yearly Commitment:  Partial Year- Estimated August thru Early November.  Provides necessary volunteer support at all pre-season, in-season and post-season home field events as well as practices to ensure adequate coverage to meet the requirements of the role and ensure a successful operation.  Attends all monthly MSPYL Board meetings.

 

  • Equipment Coordinator(Currently open to apply) In partnership with the Director of Football, ensures equipment and uniforms are prepared, maintained, properly fitted, and distributed to all participants. Ensures necessary inventory is maintained, and orders new as needed based on league guidelines and requirements.  Effectively organizes distribution and return for the season. Carries out and exemplifies the MSPYL mission.
  • Yearly Commitment: Partial Year- Estimated July thru November/December.  Attends all monthly MSPYL Board meetings. Signs up to volunteer at all pre-season, in-season and post season home field events, for a minimum of 10 hours total for the season, with an average of 2 hours  per hosted event.

 

  • Cheer Manager:  Assists the Cheer Director in all areas of operation for MSPYL Cheer as required throughout the season.  Handles all Cheer responsibilities in the event the Cheer Director becomes unavailable. Carries out and exemplifies the MSPYL mission.
  • Yearly Commitment: Partial Year, In-season, estimate August thru early December.   Attends all monthly MSPYL Board meetings and any special meetings as necessary.  Signs up to volunteer at all pre-season, in-season and post season home field events, for a minimum of 10 hours total for the season, with an average of 2 hours per hosted event.
